You could, if you had an inventory of every domain user. Besides, if they create an account just to receive mails from domain account, it doesn't matter if he/she uses it regularly or not. They can use their accounts to watch whenever they want to!

If it's not feasible then I'm afraid, there's no solution for this problem. Like I said, it's a Gmail account and Gmail doesn't give personalization privileges. You can request the users not to delete the files but you can't stop if anyone deliberately deletes them.

I dont think it is unintentional because it keeps happening all the time. Could we check which ones are getting deleted. for example, can we see a pattern in them. Maybe someone is accessing the accounts and deleting them. could it be someone of production team or anyone because they can easily find the password online. This is might sound silly, but I dont know what could have caused it

We have made list of updates now.

It will make our work bit easier as we now has reference to check on mails.

but it won't change the fact that we have to resend the mail again and again if they get deleted
